Big Sand Volleyball Club runs camps and club teams for youth players in Winnipeg. This policy explains what we collect, why we collect it, who it goes to, and how long we keep it.
This website has no forms of its own and no accounts to sign up for. Everything we collect reaches us one of two ways: you fill out a Google Form we link to, or you email the club.
Submitting a registration form means you agree to this policy. Our programs are for children, so the form is filled out by a parent or guardian, who gives that consent on the athlete's behalf.
What we collect
Registration happens on Google Forms. The buttons on this site link out to them — the form itself is on Google's website, not ours, and your answers go straight to Google, where only club administrators read them.
When you register a child for a camp, a tryout, or a club program, the form asks for:
- A parent or guardian's full name, email address, and phone number
- The athlete's full name
- The athlete's age-group for camps, and birth date for club tryouts
- Which session you're registering for
- Anything specific to that program such as shirt size
- The athlete's grade, school, and past volleyball experience (optional)
- Anything else you would like us to know for the program (optional)
If you email the club instead, we have your email address and whatever you chose to put in the message.
The club collects nothing through this site itself — it has no forms of its own and no accounts, carries no advertising and no cross-site tracking, and we never sell your information. Vercel, the company that hosts the site, does record two things automatically on our behalf: standard server logs, which include your IP address, and page-view analytics.
Analytics are a counter, not a profile. They tell us how many times a page was opened, which sites visitors came from, and a rough breakdown by country, browser, and device — as totals for the whole site, never as a list of people.
Nothing in it identifies anyone. There is no name, email, account, or link to a registration or athlete. It sets no cookies and stores nothing on your device. To avoid counting one person reloading a page as several visitors, Vercel creates a temporary one-way hash from the IP address and browser details. It resets daily, can't be turned back into an IP address, and can't recognize the same visitor tomorrow or on another site.
There is no way for us to work backwards from these numbers to a person. We cannot tell that a particular visit was yours, we cannot follow one person's path through the site, and we cannot match a page view to a registration or an email you sent us.
Why we collect it
- To register your child and place them in the right session or age group
- To reach you about the program you registered for — schedules, locations, payment instructions, and changes
- To register athletes and teams with Volleyball Manitoba and Volleyball Canada where a program requires it
- To answer you when you write to us
- To see which pages of this site get used, as site-wide totals, so we know what to improve
Where it's stored
Google and Vercel both operate outside Canada, so registrations, emails, and site logs are stored and processed outside Canada and are subject to the laws of the countries they are held in. Volleyball Manitoba and Volleyball Canada are Canadian organizations.
How long we keep it
Registration information is deleted once the program it was collected for is over:
- Tryout information for athletes who are not selected is deleted as soon as teams are named
- Camp registrations are deleted as soon as the camp finishes
- Club team information is deleted after the season ends
For an athlete who makes a team, the details from their tryout form carry over into the club's records for that team — we don't ask you to fill the same information in twice. From that point they follow the club team timeline above and are deleted after the season ends.
In every case it is gone within one month of the program ending — from the form responses and from the spreadsheet both.
Emails you send the club stay in the club inbox. Ask us to delete a message and we will.
Your choices
You can ask us at any time to:
- Tell you what information we hold about you or your child
- Correct anything that's wrong
- Delete any of your information
- Stop emailing you about future camps and sessions
Email the club and we'll respond within 30 days.
